1: Secretary and Receptionist

  • Location: BOLE JAPAN, ISSAC TOWER 4TH FLOOR (ENTOTO RESTAURANT YALEBET), Addis Ababa 

Job Summary

Executing all secretarial tasks and managing the office including activities of assisting the department managers with administrative and clerical details; keeping proper filing and record keeping system in place to manage incoming and outgoing letters and files.

Duties and Responsibilities

  • Handles all secretarial activities including the preparation of draft letters;
  • Manages the office of the department/unit professionally and maintains an effective record-keeping system for all correspondences coming in and going out of the department;
  • Arrange conferences and meetings and take minutes of the meetings as directed by the superior;
  • Prepares various letters, memoranda, reports, and other documents and conducts proof-reading to ensure the accuracy of report and submits to the concerned official(s);
  • Files all correspondences in a systematic way to help retrieve the materials needed without any difficulty;
  • Receives messages clearly and forwards the messages to the superior on time;
  • Answers inquiries makes telephone calls, forwards personal and important mails to superior;
  • Maintains logs for all in-coming and out-going mail and ensures that the mail is distributed on time to the appropriate official(s);
  • Receive company’s guests and organize appointments
  • Performs other duties assigned by the supervisor.

Skill and educational background

  • BA Degree in secretarial since and Office Management
  • Experience:3 years’ experience in office management and secretarial positions.

 2: Finance and Administration Officer

Duties and Responsibility

  • Prepare the bank and cash reconciliations on a weekly and monthly basis.
  • Ensure compliance with supporting documents for payments.
  • Ensure reliable and traceable archiving of financial documents.
  • Follow bank-related activities including loan follow-up, deposits, check clearance, daily account balance, and receipts related to the bank account.
  • To follow up and monitor the payments of purchase contracts and make reconciliation with the supplier before the final payment.
  • Support in publishing job vacancies
  • follow up on the induction program for newly recruited personnel
  • Ensure that HR files are complete and updated with all necessary contractual documents;
  • following up on personnel’s monthly attendance
  • Organizing and ensuring the availability of all required personal and contractual documents in the concerned files.
  • Prepare monthly salaries, and other payment(s)
  • Follow up the payment of Pension and income taxes to the concerned inland revenue authority as well as all other declarations.
  • Perform liaison works that maintain mutually beneficial relationships, facilitate communications, and coordinate activities with different organizations
  • Any other duties that may be deemed appropriate for this role.

   Skill and educational background

  • BA degree in Accounting and Finance or Business Administration or banking & finance
  • Minimum of 5 years experience with Similar activities and banking
