Ethiopia Scout Association is a voluntary, non-political educational movement for Young People and it is open to all. The Ethiopia Scout Association (ESA) is a member of the World Organization of the Scout Movement (WOSM).

Our Mission is to contribute to the education of young people through a value system based on the Scout Law and Promise, to help build a better world where people are self-fulfilled as individuals and play a constructive role in the society.

ESA seeks talent to fill the following vacant position

1: Cashier and Secretary

Responsibilities

  • Collects membership fee and all cash and check receipts against official cash receipt of the organization and deposits each day’s collection in the bank on the following working day and keep the receipt for auditing
  • Deposited the collection money in  Bank of the country and kept the deposit receipts in safely manner
  • For purpose of routine activities and other small expenses, the casher shall keep a petty cash not more than 5,000 ( Five thousand birr only)
  • In collaboration with the chief accountant, he/she verifies income against expenditure every month
  • Holds check of the organization
  • Withdraws money from the bank if authorized by the signature of Chief Commissioner and National Treasurer or National Executive Commissioner
  • Discuss with responsible person and finalize to request replenishment after utilizing 75 % of the advanced
  • Prepares petty cash payment voucher and submits for approval to the Manager/Coordinator for payment and replenishes when the balance reaches the minimum limit.
  • Maintains and keeps up to date register book for petty cash.
  • Avail’s money and documents on hand to both internal and external auditors for surprise or year-end counting and checking.
  • Keeps cash and undelivered checks and documents locked in the safe.
  • Keeping working area well prepared and attractive.
  • Handles all secretarial responsibilities and duties for the office
  • Setup and maintains computer and hardcopy filling systems for correspondence, technical and financial information
  •  Prepare daily cash balance and handover to the accountable to be checked.
  • Perform any other duty as identified, which falls within the responsibility of a secretary/casher
  • Carrying out other duties and  responsibilities as assigned by immediate supervisor
  • Issues received items upon the approval of the request
  • Performs photocopy and other related activities
  • Receives incoming letter and submit/file as needed
  • Issues outgoing letter in a required manner
  • Safeguard properties of the organization at her custody
  • Makes travel arrangements and ticket bookings

Reports to: Chief Accountant

Location: Addis Ababa, with frequent travels to the field

Post Type: Full time

Salary: Negotiable

Contract length: One-year and renewable based on performance and availability of funds

Job Requirements

Qualifications and Requirements:

  • Diploma in Customer Contact and Secretarial Operation Coordination, Secretarial    Science, Administrative Secretary, Office Administration or accounting from a recognized college/university with three year proven experience in related field.
  • Experience working in an office environment in a clerical or administrative role. Experience with a local or international NGO is a plus.
  • Experience with typing/word processing, data entry into online databases and forms, and working with various office equipment.
  • Experience in MS Office package (Excel, Word, PowerPoint, and Visio) and information management systems. Proficient in Word.
  • Good time management skills with ability to work on multiple tasks
  • Strong customer service orientation with good communication and interpersonal skills
  • Proactive, resourceful, solutions oriented and results-oriented
