1: Administrative Assistant

Location: Addis Ababa

Expereince: Fresh Graduate

JOB SUMMARY:

We are seeking a highly organized, efficient, and discreet Personal Assistant to provide comprehensive administrative support to our Chief of Staff. The ideal candidate will be adept at managing schedules, handling communications, and facilitating smooth daily operations in a dynamic, fast-paced environment. They will be proficient in administrative tasks, demonstrating a unique blend of interpersonal, organizational, and strategic skills.

Key Responsibilities:

1. Administrative Support: Manage the Chief of Staff’s calendar, including scheduling meetings, appointments, and travel arrangements. Ensure all necessary materials are prepared in advance.

2. Communication Management: Handle incoming and outgoing communications on behalf of the Chief of Staff. This includes managing emails, phone calls, and postal correspondence, ensuring timely responses and discretion.

3. Document Preparation and Management: Prepare, organize, edit and maintain documents and reports. Assist in the creation of presentations and briefing materials. Maintain filing systems, manage databases, and ensure the confidentiality of sensitive information.

4. Meeting Coordination: Organize and coordinate meetings, including venue arrangements, attendee invitations, and equipment setup. Take minutes during meetings and distribute them afterward.

5. Travel Arrangements: Plan and organize travel itineraries, including flights, accommodation, and local transportation. Anticipate and handle travel-related issues or emergencies.

6. Confidentiality: Maintain strict confidentiality on all business matters. Exercise discretion in handling sensitive information.

7. Special Projects: Assist in various projects as directed by the Chief of Staff, which may include event planning, research, or other administrative tasks.

8. Liaison Duties: Act as a point of contact between the Chief of Staff and other staff members or external partners.

Skill and educational background

Bachelor’s degree in a related field.
Excellent organizational and time-management skills.
Strong written and verbal communication abilities.
Proficiency in Microsoft Office Suite and other office management tools.
Ability to handle confidential information with discretion.
Exceptional attention to detail and problem-solving skills.
-Excellent proficiency in English and Amharic is a must
Flexibility to adapt to changing priorities and tasks.
