CARITAS Switzerland (CACH) has been working in Ethiopia for nearly 50 years. Currently CACH cooperates with a wide range of civil society, research, and private sector actors in Ethiopia.
Registered as an International Foreign Charity Organization in Ethiopia, CACH is also operational at project implementation level. CACH’s main working fields are economic development, agricultural development and food security, WASH as well as Emergency and Relief response.
Our current operational covers southern and Eastern Oromia, SNNP and Tigray regions, across which several projects are being implemented.
1: Finance and Admin Assistant

Summary of Duties
Finance and Admin Assistant is reporting to the Finance & Admin Manager. The input of Finance and Admin assistant helps in the smooth functioning of a CACH’s Finance and Admin Unit. The job holder will help to work as a connection between the Finance and Admin Unit and the CACH’s staff, and aid in the accomplishment of assigned tasks. She/he is expected to provide support to the realization for the country programme’s and ensure that there is proper documentation of finance, procurement, HR, settlement, bank statements and other relevant documents.
Main Areas of Responsibility
- Record transactions in a timely manner in the organization Software
- Prepare and/or check cash payments.
- Handle petty cash payment as applicable.
- Make payments to various suppliers and service providers on behalf of CACH and as per CACH Finance and Administration Handbook for Ethiopia ;);
- Assume responsibility for monthly payment of income tax, pension, insurance and other regular payments and fees as assigned.
- Follow up advances and ensure timely settlement as per the organization’s financial procedures.
- Undertake monthly bank reconciliations.
- Settle advance payments of the petty cash against written orders and collect original acceptable relevant documents from authorized staff and Stamp as PAID; and have them properly filed.
- Safe custody of organizational documents and properties at his or her disposal as appropriate.
- Keep record of amounts received and paid and reconciled cash balance with record, timely update of the cash book.
- Check all financial documents are reviewed and approved with appropriate template before payments are effected.
- Effects training payments by collecting letter of participation and attendance from program staffs and prepared payment sheets as per company formats.
- Reports all cash shortage/ overage and all unpaid vouchers of more than reasonable time.
- Participate in local procurements as a committee member and ensures adherence to CACH policies and regulations and applicable local and national laws
- Keep proper records of employee leaves, schedule their leave, and make sure that the employee takes as per their plan.
- Follow-up any format and document that should be signed by the employees and compile it.
- Notify the HR unit when employees change their address, emergency contact person and other pertinent information.
- Assisting with day-to-day activities of the HR functions and duties.
- Handle employees’ timesheets and send them in a timely manner.
- Follow up employees if there is any mandatory training that should be taken and send the certificate to the HR Unit.
Skill and educational background
- BA degree in Finance and Accounting or other related field of study from recognized university.
- Good knowledge of office package (Word/Excel) is required.
- Good oral and written English skills.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Good organizational skills and attention to detail.
- Experience as a Finance and Admin Assistant is a plus.
